Subscription billing FAQs

  1. How is current user count calculated?

    1. Current number of active users on Admin → Users → User accounts

  2. How are current billing units calculated?

    1. Units are the number of seats (Bonusly licenses) purchased

    2. For monthly subscriptions, seats equals user count and is trued-up at the end of each month

    3. For annual subscriptions, additional seats are purchased every 3 months based on net number of additional seats needed to support net user count increase in that period

  3. How are renewal units calculated?

    1. If customer has not agreed to a minimum user count, then at renewal units (seats) will be updated to current user count

    2. If customer has an agreed minimum user count, then at renewal units (seats) is updated to either current user count OR minimum user count—whichever number is greater

  4. Is proration based on subscription start date or the general fiscal calendar?

    1. Subscription start date


Reward billing FAQs

Pay-as-you-go Plan

  1. Why am I being charged a convenience fee?

    1. Bonusly is taking on the payment liability for rewards that you redeem. In addition, there are fees associated with credit card payment. The 8% convenience fee you’re being charged includes credit card payment processing fee and additional percentage for the risk we have assumed on your behalf.

  2. Why does my bill amount vary?

    1. Your credit card is charged for rewards once your users redeem $100 or more. We don’t limit users' redemptions as your company approaches a -$100 rewards balance. For example, your rewards balance could be -$75, then two users claim 2 different gift card rewards valued at $50 each—suddenly your rewards balance is -$175. Your balance is below -$100, so your credit card is charged for the total value of reward redemptions ($175) plus 8% convenience fee: $189. Depending on the gift card reward values you offer and how quickly users are redeeming rewards, your rewards bill can vary greatly on Pay-as-you-go Plan.

  3. Why is my billing threshold and current rewards balance negative?

    1. Your current rewards balance starts at $0 and Bonusly allows users to redeem up to $100 in rewards total. Essentially, we are crediting you rewards funds. As users redeem rewards, the current rewards balance gets more negative and once it reaches -$100 or more, your credit card will be charged.

  4. Why are my rewards billing invoices and/or payment information being sent to the wrong person?

    1. Billing invoices are sent to the email address listed in “Account Details”. Make sure this email or AP address is connected with someone who is able to pay this invoice. To update the email address on file, go to ‘Plans & Billing’ → click edit pencil icon button in the “Account details” card → click on the email address listed in the ‘Account Details’ modal → enter email or AP address that will receive and pay invoices.

  5. Why doesn’t the billing address on ‘Plans & billing’ match the billing address associated with the credit card that’s on file?

    1. You may be set up to pay rewards and subscription invoices with different payment methods. Reach out to our Support team for help resolving this.

    2. Maybe you changed the credit card connected to your account. Unfortunately the billing address you entered when updating your credit card information, is automatically synced to the “Billing Address” card or modal. To fix this, you will have to click edit pencil icon button in the “Billing address” card → click on the address listed in the ‘Billing Address’ modal → enter address, city, state, ZIP, and country connected to your credit card on file. All other fields in the billing address form are optional.


Flex Plan FAQs

  1. What is the Flex Plan?

    1. Flex Plan is another rewards billing plan that allows you to prefund your account by choosing a bill amount option from $200–$20,000 that is approximately your 3 month reward budget. Flex Plan has a 5% convenience fee and requires payment by credit card. If you want to get invoiced less often for rewards bills, Flex Plan could be a good option for you.

  2. Can I customize my bill amount?

    1. In short, no—however you can select one of the preset options: $200 / $500 / $1,000 / $2,000 / $3,000 / $4,000 / $5,000 / $10,000 / $15,000 / $20,000. If you want or need a higher bill amount for your rewards billing plan, you should explore the Fixed Plan.

  3. How do I know what bill amount option to select?

    1. Select the bill amount that’s closest to how much want to budget for 3 months of employee rewards. Said another way, choose the bill amount that matches how much you want to spend on reward redemptions for a quarter.

  4. What if I’m already on Flex Plan but need to change my bill amount?

    1. That’s not a problem. Go to ‘Plans & Billing’ and click “Modify plan settings” in the “Rewards settings” card. From here, you can choose a different bill amount from the available options. Depending on your new billing threshold, your credit card may be charged to fund your account. For more details, see 5.

  5. Can I change my billing threshold?

    1. No, the 50% of bill amount billing threshold is standardized across all plans and bill amount options. This billing threshold will protect your users from rewards catalog interruptions. It also helps us provide more consistent customer service and support.

  6. Why am I being charged when I tried to change my plan?

    1. On Flex Plan your credit card is charged when your current rewards balance is 50% or less than your bill amount. Choosing a new bill amount also comes with a new billing threshold. Payment may be necessary to fund your rewards plan if your current rewards balance is less than your new billing threshold.

      1. If you choose a higher bill amount, your current rewards balance may be under your new billing threshold. You will be alerted that payment is necessary and if you proceed with the bill amount change, your credit card will be charged to fund your account.

      2. If you choose a lower bill amount than previous, your current rewards balance is likely above your new billing threshold. In this case, no payment is necessary.

  7. Why am I being charged a convenience fee?

    1. There are fees associated with credit card payment. The 5% convenience fee you’re being charged cover the credit card payment processing fee.

  8. Why do I have to pay both my rewards and subscription bills with the same payment method?

    1. Paying both rewards bills and subscription bills with the same payment method makes managing your Bonusly payments easier. Over time, we plan to enhance our Bonusly billing experience and allow you to change settings and switch between plans yourself. Of course, we’re here to help but hopefully this will give you greater flexibility and help you optimize your account more quickly.


Fixed Plan billing FAQs

  1. Can I customize my bill amount?

    1. Yes. On Fixed Plan, your bill amount must be at least $5,000—but you can enter any bill amount that’s greater than this. We recommend setting a bill amount that’s divisible by 5, since most reward amounts are $5 increments. Remember, you will be responsible for paying the bill amount you set in full when you set up the Fixed Plan initially and whenever your current rewards balance is below 50% of the bill amount.

  2. How do I know what my bill amount should be?

    1. Set a bill amount that’s closest to how much you want to budget for 3 months of employee rewards. Said another way, enter a bill amount that matches how much you want to spend on reward redemptions for a quarter.

  3. What if I want to set a bill amount based on a different time period—not a quarter’s worth, but longer or shorter than that?

    1. As long as your bill amount is at least $5,000, you can set an amount based on a different time period. We recommend basing your bill amount off 3 months or a quarter because this protects your account from catalog shutoffs or reward redemption interruptions for your employees.

  4. Can I customize my billing threshold?

    1. No, the 50% of bill amount billing threshold is standardized across all plans and bill amount options. This billing threshold will protect your users from rewards catalog interruptions. It also helps us provide more consistent customer service and support.

  5. How will I pay my rewards billing invoice?

    1. When your current rewards balance is half or less than your bill amount, you will be emailed a payable invoice to the email address listed in the “Account details” card. From the invoice email, you can pay the rewards bill via ACH or wire transfer in our secure payment portal.

  6. How long will I have to pay my rewards billing invoice?

    1. Once you receive your payable rewards billing invoice, you have 30 days to pay the total amount via ACH or wire transfer from your banking service. We recommend you pay rewards billing invoices promptly to avoid rewards catalog interruptions for your employees.

    2. Please note: if you have an outstanding invoice (whether it’s a rewards invoice or subscription invoice), payment will be applied to the outstanding bill. Bonusly cannot guarantee a rewards billing payment will be applied to the rewards invoice if you have an outstanding subscription invoice. In this case, customers may experience rewards catalog interruptions until all outstanding invoices are paid.

  7. How can I modify my rewards billing plan settings?

    1. To modify your Fixed Plan bill amount, you must reach out to a Bonusly team member for assistance. Be prepared to share your desired bill amount.

    2. To change to a different rewards billing plan, reach out to a Bonusly team member for more information and assistance. Both Pay-as-you-go Plan and Flex Plan, you must pay both reward bills and subscription bills by credit card. If you want to switch to either of these plans, be prepared to share your credit card information with your Bonusly contact. Also prepare to discuss which preset bill amount option will work best for you if you’re switching to the Flex Plan.
